RETURN, REFUND & CANCELLATION POLICY

WORSHIP HIM DISTRIBUTION (WHD18) & GATHER THE TROOPS MOVEMENT NPC Last Updated: 19 April 2026

At Worship Him Distribution (WHD18) — Registration No. 2023/260436/07 — and Gather The Troops Movement NPC (GTTM) — Registration No. 2025/445470/08 — we are committed to fairness and transparency in all transactions. Both entities operate from 6 Umziki Place, Kloof, 3640, South Africa.

A. WHD18 — RETAIL & APPAREL

A1. Return Window

We offer a 30-day return policy from the date of confirmed delivery. Return requests must be submitted within 30 days of confirmed delivery to HQ@WHD18.CO.ZA.

A2. Eligibility Conditions

To qualify for a return, your item must meet all of the following:

  • Unworn, unused, and unaltered
  • All original tags still attached
  • In its original packaging
  • Accompanied by your receipt or proof of purchase

A3. How to Request a Return

To request a return online, log in to your account at *account.whd18.co.za, navigate to your order, and select 'Request Return'. Alternatively, email HQ@WHD18.CO.ZA with your order number and reason for return.

Items returned without prior authorisation will not be accepted and may be returned to sender at their cost.

A4. Order Cancellations

  • Cancellation requests must be submitted within 24 hours of placing your order to HQ@WHD18.CO.ZA with your order number
  • Cancellations after 24 hours may not be accommodated as orders may already be in processing or fulfilment
  • Where we cancel your order, you will be refunded within 5–7 business days

A5. Damages & Incorrect Items

Report defective, damaged, or incorrect items within 48 hours of delivery with photographic evidence to HQ@WHD18.CO.ZA. Verified claims will be resolved within 5 business days via replacement, store credit, or full refund.

A6. Non-Returnable Items

The following are not eligible for return:

  • Custom, personalised, or made-to-order products
  • Sale items and clearance stock
  • Gift cards
  • Items that have been worn, washed, or altered
  • Perishable goods or personal care products

A7. Exchanges

We do not process direct exchanges. Return the original item once approved and place a new separate order for the replacement.

A8. Refund Timeframes

  • Return request acknowledged — within 1–2 business days
  • Return received and inspected — within 3–5 business days of receipt
  • Refund decision communicated — within 1 business day of inspection
  • Refund processed to original payment method — within 5–7 business days of approval
  • PayFast refund reflected in your account — allow additional 3–5 business days for your bank

Refunds are issued to the original payment method only — no cash refunds. If 15 business days have passed since approval with no refund received, contact HQ@WHD18.CO.ZA immediately.

A9. Return Shipping Costs

  • Defect, damage, or our error — we cover return shipping and will provide a return label
  • Change of mind — customer is responsible for return shipping costs

A10. South African Consumer Rights

In accordance with the Consumer Protection Act 68 of 2008, consumers have the right to return goods that are defective, not fit for purpose, or not as described. Nothing in this policy limits your statutory rights under South African law.

A11. European Union Orders

EU customers have the right to cancel or return within 30 days of receipt for any reason, provided the item is unworn, unused, with tags, and in original packaging with proof of purchase. This exceeds the minimum 14-day EU statutory requirement.

B. GTTM — DONATIONS, EVENTS & MISSION OPERATIONS

B1. Donation Refunds — General Policy

Donations made to Gather The Troops Movement NPC are generally non-refundable as they are applied immediately to mission operations, church partner allocations, and the R1 Project. However, refunds will be considered in the following circumstances:

  • Donation made in error (wrong amount) — Full or partial refund considered
  • Duplicate payment processed — Full refund of duplicate amount
  • Unauthorised payment (fraud) — Full refund subject to investigation
  • Technical payment error via PayFast — Full refund processed

All donation refund requests must be submitted within 48 hours of the transaction to HQ@WHD18.CO.ZA with proof of payment. Approved donation refunds processed within 5–7 business days to the original payment method. Requests submitted after 48 hours will be reviewed at GTTM's sole discretion.

Please note: GTTM is in the process of applying for Public Benefit Organisation (PBO) status and Section 18A tax deductibility approval from SARS. Tax-deductible receipts will only be issued once this status is formally granted. Donors will be notified when this becomes available.

B2. R1 Project — Refund & Cancellation

  • R1 Project contributions are subject to the same donation refund policy in B1 above
  • To cancel a recurring R1 Project contribution, submit a written cancellation request to HQ@WHD18.CO.ZA at least 5 business days before the next scheduled debit
  • Cancellations received after this window may result in one additional debit being processed, which will be refunded within 5–7 business days

B3. Church Partner Allocation Reversals

  • Where a donation refund is approved, the associated 10% church partner allocation will be recalled
  • GTTM will manage this internally and notify the affected church partner within 5 business days
  • Church partners are required to maintain allocation funds in a recoverable state for 30 days post-receipt to accommodate potential reversals

B4. Event & Mission Registration Cancellations

  • More than 14 days before the event — Full refund of registration fee
  • 7 to 14 days before the event — 50% refund of registration fee
  • Less than 7 days before the event — No refund; credit may be applied to a future event at GTTM's discretion
  • Event cancelled by GTTM — Full refund within 7 business days

Cancellation requests must be submitted in writing to HQ@WHD18.CO.ZA with your registration reference number. Approved refunds processed within 7 business days.

B5. GTTM Event Cancellation by Organisation

If GTTM cancels an event due to force majeure, safety concerns, or operational reasons:

  • All registered participants notified within 24 hours of the decision
  • Full refunds of registration fees processed within 7 business days
  • GTTM is not liable for travel, accommodation, or other costs incurred by participants
